Privacy Policy
Our privacy commitment
ServiTag is an equipment inspection, service-record, and maintenance workflow platform. We aim to collect only information reasonably needed to provide and improve the service, protect it with practical safeguards, and explain our practices in understandable terms.
ServiTag does not sell personally identifiable information. We also do not rent personal information or disclose it to third parties for their independent advertising purposes.
Information we process
Depending on how an organization uses ServiTag, we may process:
- Names, business email addresses, account roles, organization details, and support communications;
- IP addresses, browser and device details, timestamps, session information, and security or access events;
- Asset identifiers, locations, inspection and maintenance records, notes, checklist responses, and operational history;
- Photos, files, logos, and electronic signatures intentionally submitted by authorized users; and
- Subscription, transaction, and billing-status information provided by payment service providers. ServiTag does not intend to store full payment-card numbers.
How information is used
We use information to authenticate users, operate agency workspaces, deliver requested features, maintain inspection and service history, generate exports, provide support, communicate about the service, process subscriptions, prevent abuse, investigate errors, improve reliability, and comply with applicable legal obligations.
Agency separation and authorized access
ServiTag uses agency-scoped access controls and operational safeguards designed to reduce unauthorized access between organizations. Workspace information is made available to authorized users based on their account, role, and agency context. Information may also be accessed when reasonably necessary to provide requested support, investigate security or abuse, maintain the service, comply with law, or protect ServiTag and its users.
No internet-connected system can eliminate every risk. Organizations are responsible for managing their authorized users, access credentials, shared devices, and internal permissions.
Security
Names, email addresses, IP addresses, signatures, uploaded media, and other workspace information are maintained using reasonable administrative, technical, and operational safeguards appropriate to the service. These may include access controls, authentication measures, private storage patterns, transport protections, logging, and restricted administrative access. Security practices may change as the platform and available safeguards evolve.
Service providers and required disclosures
We may use hosting, email, payment, security, communications, and other vendors to process information on our behalf when needed to operate ServiTag. These providers receive only the access reasonably necessary for their functions and are expected to handle information under applicable contractual and legal obligations.
We may preserve or disclose information when reasonably necessary to comply with law or legal process, enforce agreements, investigate suspected fraud or misuse, protect safety or rights, respond to an emergency, or complete a merger, financing, acquisition, reorganization, or sale of relevant business assets. Any successor would receive information subject to applicable law and the commitments governing that information.
Equipment images and product improvement
ServiTag may use uploaded equipment photographs to evaluate, train, test, and improve image-recognition, machine-learning, and other product capabilities. Before using photographs for these purposes, we will take reasonable steps to remove or obscure direct personal identifiers and separate the photographs from names, email addresses, signatures, IP addresses, and organization account identifiers. We do not use electronic signatures for AI training.
This permission is limited to lawful product development and improvement. We will not publish an organization's identifiable photographs as marketing material without separate permission. Where applicable law or a separate written agreement requires additional consent or imposes stricter limits, those requirements control. Organizations should not upload photographs containing faces, confidential documents, personal information, or third-party material unless they have authority to do so.
Aggregated and de-identified information
We may create and use aggregated or de-identified statistics that are not reasonably intended to identify a person or organization. This information may help us understand platform performance, equipment-use patterns, inspection activity, service trends, feature effectiveness, and opportunities to improve ServiTag.
Retention
Information is retained for as long as reasonably needed to provide the service, maintain legitimate business and security records, honor customer requirements, resolve disputes, enforce agreements, and meet legal obligations. Retention periods may vary by information type, workspace status, backup cycle, and contractual requirement.
Your choices and requests
Authorized organization administrators may use available account controls or contact ServiTag to request reasonable assistance with access, correction, export, or deletion of workspace information. Requests may be limited by the requester's authority, other users' rights, contractual commitments, recordkeeping needs, security requirements, and applicable law.
You may contact us about privacy questions or request that eligible future equipment photographs associated with your organization be excluded from product-improvement training. Exclusion requests do not require removal of models, statistical results, or other improvements previously developed from information that was lawfully used and no longer identifies the source, except where applicable law requires otherwise.
Children
ServiTag is intended for business and workplace use and is not directed to children. Organizations must not knowingly provide accounts to children or submit children's personal information unless they have a lawful basis and ServiTag has expressly agreed to support that use.
Changes to this policy
We may update this policy as ServiTag evolves. Material changes will be posted with a new effective date and may also be presented through the service when additional notice or consent is appropriate.
